Using the Calendar (Quick Reference)

Calendar Quick Reference

  • To access the calendar, select Calendar > View Calendar menu
  • To schedule a new appointment or job activity, click anywhere on the calendar.
  • To reschedule an appointment or job activity either:
    • drag & drop an item on the calendar 
    • double-click an item on the calendar
    • click an item and select Edit [Activity/Appointment]... menu
  • Use appointments to indicate when workers are on vacation or not available.
  • To change information on an appointment or activity:
    • click the item and select Edit... menu
    • double-click on the item
  • To change default working days/hours, go to Calendar > Edit Settings menu
  • To change the size of the text on the Calendar, go to the browser menu bar and select View > Text Size
  • The color of the box corresponds to the field selected for Color Activities By: Change the selection by clicking Options... button. The default is job activity type. You may also choose to color activities by any custom field or form field that contains a list of values that have been color coded. Change the color for appointments on Calendar > Edit Settings.
  • The color of the text in the boxes indicates the status of the activity. The default color values are shown below. These colors can be changed by the System Administrator (via Job > Edit Settings).
    • Black = Estimate
    • Purple = Auto-schedule
    • Green = Confirmed
    • Blue = Complete
    • Red = Cancelled
  • To change the status of an activity to "Complete", click on the item and choose "Change Status to Complete".
  • To print the calendar page as it appears on the screen, select the browser's File > Print menu
  • To print all items on the calendar for a given day or to just print specific activity types or items for specific assignees, create a calendar printable form.
  • To customize how the calendar is displayed, you can create views by clicking Options...
