Report: How many sq feet did we install this week?

Using a report, you can subtotal values that you track on Job Forms (or directly on the job) by any time period that's useful to you. This example will demonstrate creating a report that totals the square feet you have scheduled for installation on a weekly basis.

  1. Click Report > New and then simply click OK to create a new report
  2. Click Options and change the following:
  3. Click On the Measure line, click Select and then choose Job Form as the Subject Area. Then choose the form that has the number you want to total and choose the specific field for your Measure (Square Feet in this example). NOTE: if your form doesn't have numeric values, you won't be able to use it in this way.

    The Time Field is subtle but important to understand. If you want to report on installs within a certain time period, then you choose Install Date as the time field. If there's more than one install activity in a job, we need to know which one you want to use. So if you're making a weekly report, and a job has an activity on Friday and another on Monday, in which week do you want to include the square footage for that job? If you want that job in the earlier (Friday) week, choose First in Job; if you want it in the later (Monday) week, choose Last in Job. If you want to break the square footage down by phases, then choose First in Phase or Last in Phase (but recognize that makes things gets more complicated).

  4. Click Select Fields and choose the Time period that you want to subtotal. In this example, I've changed Month to Week. 

    You can add addition fields to your report, but recognize that if you add more detail, you might also be adding rows. For example, if you add Job Name, you'll change the report into a subtotal of the Square Feet for each job (within each week), which is a very different report.

  5. Click OK to see you're report. Your Options will look something like this: and the report will look something like this (hopefully you had a better start to your year):To translate week numbers into meaningful dates, use a website like http://www.calendar-365.com/week-number.html.

  6. This report currently shows all square footage, regardless of whether an install has been completed. You can click Options and then add report filters to limit the report to only completed installs (along with many other options). See related articles below for more on filters.
